Introduction
This guide has been created to accompany our TimeKeeper Version 2 overview video below. The aim is to give you a clear, written reference for the new layout so you can quickly understand where everything lives and what you can do in each area.
Version 2 of TimeKeeper has been developed by our tech team based on real customer feedback and suggestions. The goal is to make day‑to‑day tasks faster, navigation more intuitive, and the overall experience more consistent across the system.
By the end of this guide, we hope you will:
Feel confident navigating the new layout
Know which main area to go to for each task
Have a quick checklist of what’s possible within each menu
The sections below summarise what you can do in each of the key areas: People, Timesheet, Schedule, Job, Company, Leave, and More.
People
In People, you manage everything related to your workforce:
Add new employees
Edit employee details (contact info, HR basics, contract type)
Set working patterns (including shift patterns and overtime)
Configure managers and reporting lines
Organise employees into teams
Archive temporary or leaver profiles
Manage profile photos and general employee settings

Timesheet
In Timesheet, you manage time entries and worked hours:
View employee timesheets for selected date ranges
See clock‑ins, clock‑outs, breaks, and total hours
Review and edit individual time entries
Add missing time entries manually
Check overtime and any special rules applied
Use filters (by employee, team, etc.) to focus on specific groups
Prepare timesheet data for payroll and reporting
Approve timesheets
Approve or deny requests
Add requests into timesheets
Manage/Investigate any discrepancies
Schedule
In Schedule, you plan who is working and when:
Create and manage shift schedules
Assign employees to specific days and times
Adjust shifts (move, extend, or cancel as needed)
View coverage across days, weeks, or locations
Align scheduled hours with expected staffing levels
Job
In Job, you connect time to specific pieces of work:
Create and manage jobs or projects
Assign jobs to employees or teams
Track time spent against jobs via timesheets
Use job‑level data for costing and reporting

Company
In Company, you configure organisation‑wide settings:
Maintain company details
Upload global policies
Set up kiosk locations for on‑site clocking stations
Create and manage clients for client‑based time tracking and reporting

Leave
In Leave, you manage time off:
Set up leave types (e.g. holiday, sickness, unpaid leave)
View and approve leave requests
Track leave balances and entitlements
Review leave calendars for individuals or teams
Ensure leave is accurately reflected on timesheets

A new feature where you can customise the Access and Permissions for Team Managers and Managers
