Setting a Geofence for a Job

TimeKeeper supports the ability for a job to be set up so that only employees within a certain distance of the site address can clock in and out. This prevents people from clocking into jobs for which they are not near to. To set up a job a geofence, follow the instructions in this video.

1. Enable “Clock in with Job” (Global Setting)

1. In TimeKeeper, click More in the main menu.

2. Go to Settings.

3. Open Clock Entry Settings.

4. Locate the option that requires staff to clock in with a job for every time entry.

5. Turn this setting ON (enable it).

Once enabled, staff will be unable to clock in or out unless they select a job. This ensures all time entries are linked to the correct job.

2. Enable Global Geofencing for Jobs

After you enable the “clock in with job” setting, a new geofence setting will appear underneath.

1. Enable the option to set up geofencing for all jobs.

2. In the Geofence radius field, enter the distance you want to use for all jobs (e.g. 100 meters).

This geofence radius applies to both clock-ins and clock-outs:

• Staff must be within the specified radius of the job address to clock in or out.

• If they are outside the geofence, they will see an error message on their device informing them that they are outside the geofenced area and cannot clock in/out.

Example:

• Global geofence radius: 100 meters

• Result: Staff must be within 100 meters of the job address to successfully clock in/out.

When you’re happy with your settings, click Save.

3. Add or Edit Job Addresses

Now that the global settings are in place, you need to ensure each job has a correct physical address.

1. Go back to your Jobs table.

2. Open the Job Address field for the job you want to configure.

3. Enter the physical address of the worksite associated with that job.

   • You can type the address and select it from the dropdown when it appears.

4. Save the job as normal.

This address is what the geofence uses to determine whether staff are within range when clocking in/out.

Important:
Because you’ve enabled the global geofence setting (e.g. 100 meters), you do not need to enter a distance in the job’s own geofence field for standard jobs. Any jobs created after you enable the global setting will automatically use the global radius.

4. Override Geofence Distance for Specific Jobs

You can override the global radius for particular jobs if needed — for example, a large site where you want a wider coverage.

1. Open the job you want to adjust.

2. Scroll to the Geofence distance field.

3. Enter the specific radius you want for this job (e.g. 120 meters).

4. A confirmation indicator (e.g. a green box/message) will appear to show that:

   • This job now has its own geofence radius (120 meters),

   • Instead of the global radius (e.g. 100 meters).

5. Scroll to the bottom of the page and click Save.

That job will now use its custom geofence distance, while all other jobs continue to use the global radius.

Summary

You have now:

• Enabled global settings so staff must clock in with a job.

• Set a global geofence radius (e.g. 100 meters) for all jobs.

• Learned how to override the geofence radius per job when needed (e.g. 120 meters for larger sites).
