Archiving / Restoring Employee Profiles
In this guide, we will take you through the steps to:
Archive an employee profile
Restore a previously archived employee profile
Please note that archiving an employee is highly recommended instead of deleting their profile. If you delete an employee, all of their data, including time entries, will be permanently removed and cannot be recovered. Archiving, on the other hand, keeps their time entry data available while ensuring you no longer pay for their account once it has been archived.
Administrators have access to the entire directory and have the rights to archive and restore any and all staff.
Team Managers have access to the staff members in their team. A team manager can archive and restore any staff member in their team.
Archive an Employee Profile
Log in to the TimeKeeper Web Portal
Open your browser and sign in to your TimeKeeper admin account.
Go to the People section
From the main menu, select Directory to see your list of active employees.
Find the employee you want to archive
Scroll through the list or use the search bar to locate the relevant employee.
Open the archive option
On the employee row, click the three dots to reveal a drop down menu.
Click Archive.
Confirm the archive
A confirmation pop‑up will appear asking if you’re sure you want to archive this employee.
Review the message. It will remind you that archiving removes access but keeps data such as timesheets.
Click Yes / Confirm to complete the process.
Result
The employee will be moved from the active list and no longer be able to log in.
Their historical data (e.g., time entries) is retained, and you will no longer be billed for that user.
Restoring an Archived Profile
Log in to the TimeKeeper Web Portal
Open your browser and sign in to your TimeKeeper admin account.
Go to the People Section
Using the Status drop down menu, navigate to Archived.
Find the employee you want to restore
Scroll through the archived list or use the search bar to locate the employee’s name.
Click Restore
On that employee’s row, click the three dots to reveal a drop down menu.
Click Restore
Confirm the restore
A confirmation pop‑up will appear.
Click the green Restore to restore the employee.
Verify they’re active again
Change the status back to Active
The restored employee should now appear back in your active Employees list and regain access
